If you cancel with proper notice and we are able to fill your spot on the trip then your deposit will be refunded in full. If you cancel less then 1 week before the event or we are unable to fill your spot then refunds will be processed on a conditional basis as follows:
1. Canoeing events: Most outfitters will only charge us for the boats that we use so this allows us to refund you appropriately. In the event that we are unable to fill your spot and we incur a charge (on a canoe trip this typically occurs when we have an odd number of people) your deposit will not be refunded or will be partially refunded as appropriate.
2. Camping events: Campground deposits are paid by WCH upfront and your portion of that fee will be deducted from any payments made. If the trip leader has already purchased food supplies prior to your cancellation, your portion of those fees will be deducted from any payments made. In short, you are liable for your portion of any costs incurred by WCH up to the time of your cancellation or for which we are committed to paying during the trip.
3. Misc Events: In general will follow the camping events ruled. Your deposit will be refunded less your portion of any expenses incurred by WCH prior to your cancellation or as a result of your cancellation.
Last minute cancellations: If you cancel less than 7 days prior to an event your payments will be refunded less a $10 late penalty fee (for events of $10 or more). Extenuating circumstances may be reviewed at the discretion of the trip leader and will be tracked per our attendance policies.
If an event is CANCELLED by the trip leader then all payments will be refunded.
